The workflow begins with a scheduled trigger that checks a Gmail inbox every minute for new emails containing spare parts requests. It retrieves the latest email and uses keyword detection to identify relevant inquiries in multiple languages (Turkish, German, English). If a request matches, it triggers the AI-powered quote generator.
The AI agent analyzes the email content, detects the language, and fetches related customer data from Google Sheets that contain CRM and project details, including Bill of Materials (BoM) and pricing information. Using this data, it constructs a detailed, complete HTML quote that includes part codes, descriptions, quantities, unit prices, and total costs, along with a grand total calculation.
Once the quote is generated, the workflow automatically replies to the customer with the HTML quote, marks the original email as read for inbox management, and maintains a smooth communication loop. The process is configurable by updating Google Sheet IDs and API credentials.
